Open Enrollment Is Coming. Now Is the Time to Remove the Friction.

Open Enrollment (OE) has a way of exposing everything an agency does well, and everything it doesn’t.

‍

When volume increases, even small inefficiencies become significant. A few extra minutes spent moving between systems. A client having to repeat information. An agent tracking down a missing document. A producer abandoning a cross-sell because the process takes too long.

‍

One isolated task may not seem like much. Multiply it across hundreds or thousands of clients, and the friction adds up quickly. With Open Enrollment approaching, now is the time for agencies to look beyond their sales goals and ask a more practical question:

Where will friction slow us down when volume increases?

‍

‍The Pressure Isn't Just About Volume

Open Enrollment brings a predictable surge in activity. More prospects. More conversations. More applications. More questions. More follow-up.

‍

But agencies aren't simply managing more business. They're managing more complexity at the same time. Agents may be working across multiple carriers and product lines. Operations teams are handling increased documentation and service requests. Producers are trying to stay focused on clients while navigating systems and workflows behind the scenes.

‍

When every additional opportunity requires another login, another data entry step, another manual handoff or another administrative process, the cost of that complexity becomes increasingly visible. And it can affect more than productivity. It can affect the client experience and whether an agent has the time and capacity to pursue the next opportunity.

Find the Friction Before OE Finds It for You

The best time to identify workflow problems isn't in the middle of the busiest enrollment period of the year. It's now. Agencies can start by looking closely at the processes that happen repeatedly during Open Enrollment:

  • How many systems does an agent have to use to complete a single client interaction?
  • How often is information entered more than once?
  • Where do manual handoffs occur?
  • Which steps routinely require follow-up from another person or team?
  • Where do applications, documentation or service requests tend to get stuck?
  • What opportunities are agents likely to skip because the process takes too much time?

‍

These aren't just operational questions. They're growth questions. Every unnecessary step consumes capacity that could otherwise be spent serving clients, writing business or developing existing relationships.

Don't Make Agents Choose Between Volume and Depth

Open Enrollment can also create a tension between production and relationship-building. When volume is high, it's natural for agents to focus on getting the next enrollment completed.

‍

But the client relationship doesn't end when the application is submitted. There may be additional coverage needs to identify. There may be opportunities to serve other members of the household. There may be questions that require follow-up after enrollment.

‍

The problem is that deeper relationships require time, and time becomes scarce when an agency's processes are already carrying unnecessary administrative weight. Removing friction creates capacity. And capacity gives agents more room to do the work that can't be automated: understanding clients, identifying needs and building relationships.

‍

The Client Experience Matters, Too

Operational friction isn't always visible to the client. They may simply experience it as another email. Another form. Another request for information they already provided. Another delay while someone tracks down an answer.

‍

During Open Enrollment, those small moments can multiply. A smoother process can make it easier for clients to get answers, complete enrollment and stay engaged with their agent. It's an opportunity to establish or strengthen a relationship that continues well beyond enrollment season.

‍

Use OE to Expose What Needs to Change

Open Enrollment doesn't have to be something agencies simply survive. It can be a useful stress test. The volume and urgency of the season can reveal exactly where an agency's infrastructure is working, and where it isn't.

‍

  • Pay attention to the recurring pain points.
  • Where are your teams spending time on tasks that don't require their expertise?
  • Where are producers getting pulled into administrative work?
  • Where are clients experiencing unnecessary delays?
  • Where are good opportunities being left on the table because the process is too complicated?

‍

Those answers can become a roadmap for what to improve before the next enrollment cycle.

‍

Technology Should Reduce Complexity, not add to it

Technology is often presented as the answer to operational challenges. But adding another platform doesn't automatically make an agency more efficient. The real question is whether the technology makes it easier to get work done.

‍

The right infrastructure should help connect the pieces of the agency's business rather than create another layer to manage. It should give agents and agency leaders better visibility, simplify repetitive processes and make it easier to act on opportunities.

‍

Ultimately, the goal isn't more technology. It's less friction.

‍

Build for the Season, and the Growth That Comes After It

At Heathos, we think about agency growth through that broader lens.

‍

Supporting agents isn't only about giving them access to products or helping them get through a busy enrollment period. It's about creating an ecosystem that helps agencies operate more efficiently, make better-informed decisions and build stronger, more sustainable businesses. That includes the technology, data, operational support and enablement that help reduce the friction between identifying an opportunity and acting on it.

‍

Because Open Enrollment will always be busy. The question is whether your agency has to be unnecessarily complicated, too.

The season is coming. Now is the time to remove the friction.
